Rules for Leads, Tasks, Contacts, and Companies
Welcome to Retail Lead Management’s Customer Management Module. Unlike other CRM and lead management software in the marketplace, the Customer Management Module from RLM has two unique features that other CRMs simply don’t have.
Feature #1 – The ability to create a Lead and have the system automatically 1) create the Company and the Contact from that Lead and 2) link the Company and Contact together. This is an incredible time saver. With other CRMs, you have to build the Company, then build the Contact, and then create the Lead or sales opportunity.
Feature #2 – The ability to create rules that determine the pipelines for which the system 1) creates the Company and/or the Contact from a Lead and 2) links the Company and Contact together. Perhaps on one pipeline, you want the Company and Contact automatically built from the Lead and linked together. Maybe for another pipeline, you want only the Company built automatically from the Lead and not the Contact. And perhaps for another pipeline, you don’t want the Company or the Contact built at all. With RLM’s Customer Management Module, we make all of that possible.
Being the only CRM or lead management software on the market today with these unique features, we had to build some standard rules into our software in terms of how things work. Let’s review those rules and features.
Rules of Contacts
When building a Contact, the system will allow you to build multiple Contacts with the same name as many times as you want. However, if you enter an email address with the Contact, the system makes that Contact unique. Why do we do that? Because there are thousands of John Smiths around, and you need to be able to build all of them. But to make the Contact unique in our system, just add the email address.
Rules of Companies
When building a Company, the system will allow you to build a Company with the same name multiple times only if each Company has a different zip code. We do this so that you can enter Companies that have multiple locations. However, if you try to build a Company with the same name multiple times with no zip code, the system will only build one Company. This is because there is rarely more than one Company with the exact same name. For example, there’s only one America’s Floor Source.
Rules of Leads in relation to Contacts and Companies
A Lead can be associated with a Contact regardless of whether the Contact has an email address or not. But by using an email address, you have made the Contact unique. Thus, if an existing Contact is in the database with the name and email address you entered when building a Lead, the system will automatically find that unique Contact and link everything together. If there is no matching Contact in the database with the name and email address you entered, a new Contact will be automatically created in the system, provided you have that pipeline’s rules set up to do so. Please note: when building a Lead with no email address, the system will automatically build that Contact (provided you have thatpipeline’s rules set up to do so) even if that Contact name already exists in the system with no email address.
A Lead can be associated with a Company regardless of whether the Company has a zip code or not. If you build a Lead with a Company name and no zip code, the system will find the existing Company in the database that has the same name and no zip code and link the Lead with that Company. If that Company name you entered does not exist in the database, a new Company will be created, provided you have that pipeline’s rules set up to do so. If you build a Lead with a Company name and a Company zip code, the system will find the existing Company in the database with the same Company name and Company zip code and link the Lead with that Company. If there is no matching Company in the system with the Company name and zip code you entered, a new Company will be created, provided you have that pipeline’s rules set up to do so.
